When you use the Error Decoder, we collect:
- Error codes you search for, manufacturer and equipment type selections
- The number of searches performed per month (for quota tracking)
- Ratings and feedback you provide on diagnostic results
- Browser type, device type, and IP address (for security and rate limiting)
Diagnostic Data
Error codes and equipment context you submit are processed by third-party diagnostic engines to generate results. These queries contain only the technical data you enter (error code, manufacturer, equipment type, family/series) — never your personal identity or account information.
2. How We Use Your Information
- To provide the Service: Processing your error code queries, delivering diagnostic results, and caching results for faster future lookups
- To manage your account: Authentication, subscription management, and search quota tracking
- To improve the Service: Analyzing anonymous query patterns to identify gaps in our diagnostic database and improve accuracy
- To communicate with you: Account-related notifications, subscription renewals, and support responses

3. Data Sharing

- Diagnostic engine providers: Your error code queries (without personal information) are sent to third-party API services that generate diagnostic analyses. These providers process the technical query data under their own privacy policies.

- Legal requirements: We may disclose information if required by law, court order, or governmental regulation.
4. Data Storage and Security
Your account data is stored on secured servers. Diagnostic results are cached in our database to provide instant responses for previously queried error codes. Passwords are hashed using industry-standard algorithms and are never stored in plain text.
API keys for diagnostic engines are stored encrypted and are accessible only to the site administrator. No diagnostic engine API key or credential is ever exposed to end users.
5. Data Retention
- Account data: Retained as long as your account is active. You may request deletion at any time.
- Cached diagnostic results: Retained indefinitely to improve the service for all users. These are technical records (error code + diagnosis) and do not contain personal information.
- Usage logs: IP addresses and access logs are retained for a maximum of 90 days for security purposes.
- Payment records: Retained as required by applicable tax and financial regulations.
6. Your Rights (GDPR)
If you are located in the European Economic Area, you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate personal data
- Erase your personal data (“right to be forgotten”)
